Terms and Conditions (Updated 12th October 2011)

All participants are agreeing to terms and conditions by attending class/es.

1.        General

1.1     The ‘company’ refers to Pole Fitness Organisation UK.

1.2     Terms and Conditions refer to all classes, courses and sessions run by Pole Fitness Organisation UK, including but not limited to Taster Sessions, Drop-In Sessions, Free Passes, Guest Entries, 6-Week Courses, 4-Week Courses, Strictly Pole, Pole Circuits, Open Pole.

2.        Bookings

2.1   Bookings are made directly to Pole Fitness Organisation UK and not to venues.

2.2   Bookings for any of the company's services can be made in the following ways:

2.2.a     Online via the website www.polefitness.org.uk

2.2.b   By emailing enquiries@polefitness.org.uk 

2.3   Bookings can only be made once dates, times and locations are confirmed.

2.4   Bookings are taken on a first come first serve basis.

2.5   Bookings made without payment are reserved only.

2.5.a   Reserved bookings which are made in which the participant fails to attend without suitable reason or notification will be logged. Repeated failure to attend without alerting the company will result in participant blacklisted and not able to attend future classes until the matter is resolved. This does not apply to participants who have paid.

2.6   University class bookings must be made online via www.polefitness.org.uk/university with online payment.

2.6.a  Payments for University classes can be made online or using the options stated in 3.1

3.        Payments

3.1     Payments can be made with the following options:

3.1.a   Online at with credit/debit card at www.polefitness.org.uk 

3.1.b   Written cheque made payable to KH Law to class instructor

3.1.c   Via PayPal at www.paypal.co.uk - payment sent to payments@polefitness.org.uk 

3.1.d   Direct bank transfer to Bank of Scotland, Account Number 01110440 Sort Code 804627

3.2 From November 2011, we will not be accepting any cash payments to the instructors.

4.        Confirmation

4.1     All bookings made online with successful payment will receive a confirmation email from confirmation@polefitness.org.uk This does not include University classes (4.1).

4.1.a   University class bookings with successful payment will not receive a confirmation email.

4.1.b   University class bookings with unsuccessful payment will receive a message via email or text regarding their booking. Unless the University student has successfully paid, their booking is not confirmed.

4.1.c   University class bookings made successfully with payment AFTER the website has declared fully booked will NOT be confirmed.

4.2     Payments made online should receive an online receipt immediately post-transaction from PayPal or GoogleCheckout. Please retain all receipts for future reference.

5.        Refunds

5.1     Full refunds are only made if you should choose to cancel your booking with Pole Fitness Organisation UK seven days prior to the course start date.  This does not apply to University classes (5.4).

5.2     No refunds are available once the course has started. If the participant is unable to attend, the issue should be raised with the company and an alternative course may be offered.

5.3     Payments for full courses can be held as credit for later use if required.

5.4   University class payments made CANNOT be refunded.

5.4.a   If a class is missed without prior notification to the company, there is no availability for class credit transfer or refund.

5.4.b   If a class is missed and prior notification is given to the company, the payment made can be transferred towards another class. Except 5.4.b.1.

5.4.b.1   There is no transfer of class credit towards another class once the class has been declared fully booked.

5.4.c   If a payment is made and a student cannot attend, they may transfer the booking to another STUDENT member.

5.4.d   If a payment has been made and the wrong class was selected, the class can be transferred providing there is sufficient space and availability. In this situation, the participant must get in contact - best way is via email to polesoc@polefitness.org.uk

6.   Prices and Discounts

6.1     Prices are set as on the website, timetable and the online payment systems.

6.2     Discounts may be available for multi-bookings, group bookings, multiple training sessions.

6.2.a   Discounts offered will have an expiry date/time. The booking must be made before the expiry date/time. Each offer made will have T&C's, please refer directly.

6.3     Offers, discounts and Pole Exclusive cards are cannot be redeemed online. To redeem your offers, please contact the company.

7.        Missed Classes

7.1     If a participant is unable to attend a class, they should notify the company before the class and a replacement class may be offered. This is subject to class size and availability. This will be an agreement made between the company and the participant.

7.1.a     If a participant is unable to accept the replacement class offer/s, they will not be entitled to a refund.

7.1.b   If a participant does not attend the replacement class agreed, they will not be entitled to replace the original class again.

7.1.c   If a participant wishes to hold a missed class as credit towards future class/course, the payment will be held as credit for one year only.

7.1.c.1   Missed classes cannot be abused and collected towards future bookings. If the classes missed appear to be ingenuine, they will not be permitted to transfer.

7.1.d   Missed classes cannot be transferred to another persons. Only class credit can be transferred and subject to being equivalent to a full course.  

7.2    If a participant misses a class/es without notifying the company, they will not be able to claim the class credit back.

8.        Pole Exclusive Card

8.1    Pole Exclusive Offers can only be redeemed by the person’s name printed on front of card.

8.2   To use Pole Exclusive Offers, booking is needed prior to class. Booking can only be made in person, via email, telephone or email.

8.3   Each Pole Exclusive Offer can be used once only.

8.4   ‘10% off any 6-week courses purchased’ offer cannot be used for bookings online.

8.5   ‘Buy any 2 full courses, get 3rd half price’ can only be redeemed when the three full courses are purchased at the same time. The offer is not valid for courses bought individually.

8.6   Without prior booking for ‘FREE single class’ and ‘FREE guest entry’ may result in refusal of entry. This is subject to class size.

8.7   Photocopies will not be accepted. Original Pole Exclusive Card must be presented prior to class starting and booking is required.

8.8    Pole Fitness Organisation UK reserves the right to cancel any offers.

9.        Free Passes

9.1   Free Pass allows a single participant entry and participation to a single hour class.

9.2   Booking and/or notification must be made prior to attending class. This is subject to class size.

9.3   Anyone who attends a class without booking and/or notification may be refused entry. This is subject to class size.

9.4   Free Pass/es must be shown prior to class starting. Anyone who does not have a Free Pass will be liable to pay for the class.

9.5   One person per Free Pass and maximum three Free Passes per person for any given time.

9.6   Free Pass/es can be transferred, but no exchange or refund given. Free Pass value at 0.001p.

9.7   Photocopies will not be accepted. Original passes must be presented prior to class starting and booking is required.

10.     Gift Certificates and Gift Vouchers

10.1   Gift Certificates and/or Gift Vouchers are only valid until the date specified.

10.2   Gift Certificates and/or Gift Vouchers can be transferred.

11.  Code of Conduct

11.1   All participants are required to abide the terms and conditions set out, for fairness, professionalism and to maintain the high standard of our classes. 

11.1.a   Participants must come prepared for class, including appropriate clothing and any footwear.

11.1.b   Participants must behave appropriately towards other students in the class and towards the instructor/s.

11.1.c   Participants must respect the health and safety of class content, including advice given by instructor/s towards any physical hazard.

11.1.d   Participants may be refused to take part in the class if they are repeatedly late for class, not warming up or stretching sufficiently.

11.1.e   Any participant/s deemed to be hazardous or problematic towards the instructor/s, other student/s or the equipment will be refused entry immediately.

11.2   Pole Fitness Organisation UK reserves the right to refuse admission or participation to anyone who is deemed to be acting or behaving inappropriately. 

11.3   If a participant is excluded and/or withdrawn for unacceptable behavior, they will not be entitled to a refund.

12.   Health and Safety

12.1   Any medical conditions or physical injuries must be highlighted to instructor/s before class.

12.1.a   The company will not be held liable for any issues that occur if personal health issues affect participant without prior knowledge. This may include notification or any relevant medical history which may affect health and safety during class/es, or a GP letter.

12.2   If a participant is late for the class and misses the warm up and pre-stretch, they may be refused entry. The company will not be held liable for any injuries that may occur due to participant not warming up and stretching (11.1).

12.3   Any participants who injure themselves by not following health and safety guide given by instructors for class and pole work may be asked to leave the class. The company will not be liable for accidents which occur due to ignorance of health and safety instructions (11.1).

12.4   Participants who attend Open Pole class/es will do so at their own risk when training with no professional guidance.  Where an instructor may be present, they are not responsible for any event that may occur.  The company will not be liable for any issues that occur due to personal accidents or misuse of equipment.

12.4.a   Particpants attending Open Pole class/es must warm up and stretch on their own accord. Occassionally an instructor might lead a warm up and stretch, but cannot beguaranteed. Participants will be informed of a general guide upon booking and on their first Open pole attendance on Health and Safety.

12.4.b   Participants doing any inversion pole work must use a pole mat provided. There wil be a maximum of 2 mats per class at any one given time. This is to ensure health and safety. Any participants attempting inversion pole work without a mat may be asked to leave class. Any injuries that occur due to not using a mat will be at the participants' fault for ignoring terms and conditions.

13.   Liability

13.1   We make every effort to ensure the information contained within this website is accurate and up to date. We can not accept any liability however for any inaccuracies or omissions that may occur (unless intentionally fraudulent misrepresentation) or for any actions or decisions you may make based on the information provided.

14.    Ownership of Copyright

14.1   The content of this website is owned by Pole Fitness Organisation UK unless otherwise stated. Downloadable documents and some imagery is the property of their respective owners. All rights reserved. Your are responsible for obeying all copyright laws. You may make copies of this website and print it for personal use only. All other use is strictly prohibited. Please contact us if you wish to link to any page of this website.

15.   Declaration

15.1   By participating in any services run by Pole Fitness Org. UK, the participant is agreeing to terms and conditions (updated 12th October 2011).
